Charging for copier scans?

September 27, 2017

I went up against a big Canon dealer here on Long Island, the customer gave me some paperwork to review and asked me if I can compete as my company came highly recommended. I saw that this competitor was very close on the numbers for the copier lease itself but then noticed that they charge for scans! It appears that a number of companies are doing this now. You see, they are cutting the cost per copy to compete against other businesses and then they stick the customer with scan charges!

I remember the talk about this 17 years ago but nothing really came out of it because it was very obvious that something like this is just another way of “sticking it” to the customer.

But yes, this past month I met with two different customers who are using a very large, well known Canon dealer and another big Sharp dealer here on Long Island that were victims of this ridiculous fee of charging for scans.

You see, the big copier dealers are desperately trying to survive as the average customers yearly volume is dropping because of more paperless technology and E fax and going green that they are seeking another “niche” to stick it to the customers.

Don’t worry, at PJD Business Machines (Long Islands Copier Sales Company) we never did nor will we ever charge for scans.

Feel free to contact us and we can put you in the right lease for your company, if it is a desktop copier or an 80 cpm full blown copier, our sales team is here for you and will work out the best deal possible.

Remember the old saying, if it looks too good to be true, then chances are it is.

Beware of the Snake-oil Salesman!

Copy / print overages still a big concern!!

March 8, 2014

As competition gets more aggressive and as the business world goes more and more into paperless, the snake oil copier salesman gets more desperate.

We have discussed overages in the past, in fact not to long ago, but I feel it is important to reiterate this. I went out on two proposals this week alone that the customers was fed up with the overages. When I go out on a call like this I play detective, I am not just another salesman in a three piece suit looking to score his next vacation on your dime, I am a master technician of more than 26 years, I also have a very good personality and am honest and trustworthy.

I will visit your site, I will physically go to your copier/printer and print out the usage counters and sit down with you and show you what you do as far as copying and printing, we will discuss your future copying/printing and then, I will be able to pinpoint an accurate calculation of your yearly/monthly clicks. I am so confident in my system that we will if you go over it,we WILL NOT CHARGE YOU FOR IT!.

No other company in this Country will make this bold statement! I know the business well and am confident of my numbers. Call us today for a free quote, we are Long Islands Copier Company, we can take your business to the next level and save you money.

Now this is the trick that the snake oil salesmans do NOT want you to find out !  I have mentioned it at least two times in prior blogs and I ran across it twice this week alone!

With competition this fierce in a stagnant economy, at least in New York, Long Island it is….  The salesman will do everything and anything to make a sale, he/she wants to go on vacation badly and his wife is due for a new Lexis ;-), they are purposely going in and under estimating your volume!, this in return will give you a lower lease/contract price, they do not do this to everyone, just the ones who do significant volume. After you sign the lease or the contract that clearly says OVERAGES ARE TO BE BILLED AT .0125, that’s it, you signed and are bind to that! This in return can be thousands of dollars a year!, not hundreds but thousands!

Some readers have said to me in the past, “aren’t you a little harsh on the copier salesman”, I am not saying all salesman are snake oil salesman, not at all, but I have seen a lot in action, every week when we go out on calls we hear the horror stories and I am sick of it, I am sick of dishonest people ruining the business, I do not like corruption and I see it in the copier sales business.

Bottom line here folks, if you are getting bills for overages and it is happening more then once and you know nothing unusual has happened to reflect an increase like this, then you need to open your eyes.

It is not that hard folks, all machines have counters/meters, divide that by how many months you have your machine, it is as simple as that!!

It sometimes ta…

It sometimes takes weeks for my copier service provider to return with a part they ordered for the machine

Wow, I have not heard this in years! I mean, we live in an age where business can not afford to be sloppy and to be prompt is everything now a days…. We picked up a customer yesterday who has four machines, two Kyocera/Copystar copiers and a few HP laserjet printers. How could a copier service company on long island neglect this? I guess the company got too big? I guess some companies wont pay any attention to you unless you have 20 machines or more? I am very shocked by this but heck, we picked up a new customer who paid, right on the spot! They are also considering upgrading the Copystar cs5050 to a new copystar cs5500!.

Just like the big box stores like Home Depot, you can go there, go in there, find stuff…. but good look being taken care of like you would get at a small local hardware store. PJD Business machines is like that small local hardware store. You like fast reliable and knowledgeable technicians?  give us a try, what do you have to lose unless like like waiting two weeks or more for parts.

Are you updating or getting a new Server?

June 6, 2013

Well before you let your IT department sell you a new server, understand this, many of the older copiers will not be so friendly when it comes to scanning, sure it will print with no problem but scanning will be an issue. If you upgrade to Windows 2008 or better… you will have to make sure the copier is no older than 3 years. I have been seeing this often lately, a customer will upgrade without asking us if the machine is capable, the IT department is quick to “blame” the company who installed the machine but the truth comes out very quickly. Sure you can “wait” for patches, but can you really afford to be waiting? So take a tip from us, before you upgrade the server, be well aware that you may have an issue with scanning to SMB or scanning to email as security levels are very high with new equipment.

Selecting a Copier/Printer company to do service for you…

March 21, 2013

Selection a Copier/Printer comany to do service for you...

Your office machine fails and you need a service provider to properly repair it, this could be a daunting task, so many companies out there to choose from.

I want to give you a a little tip that you will appreciate. A copier/printer company whom sells and repairs machines can only handle a few lines at a time to properly and effectively handle service.

If you see a company that advertise that they sell and repair A to Z products… I will bet my last dollar that they are not very good at either sales or service, even a MASTER technician such as myself and a few of our workers at PJD Business Machines can not handle every manufacture line. Trust me it is impossible to do this. So when you see a company advertise we fix them all…. RUN from that place!!

A normal sales/service company can handle up to 3 manufactures to properly service your equipment. Remember the old cliché? “A Jack of all trade and a master of none” ??? well it holds true. This is why many internet company just sell machines, oh they may promise on site service, 😉 yea right, from who? from where?

Even local companies lets say on Long Island may say we fix A to Z, having these people come to fix your machine is taking a chance, not only are they NOT qualified to repair your machine, you will be waiting days or weeks for part replacement. By the way, we at PJD Business Machine only sell three brands, Canon, Kyocera and HP, we only service three brands, Canon, Kyocera and HP. If you call us for Konica Minolta or Xerox, or Ricoh, we will tell you no.

So when searching for a service provider, ask them what manufactures they represent? ask them what is the turn around if you needed a part, here is a better way to find out if the company is equipped to service you and your machine, ask them if they have toner in stock TODAY for your machine!!!

I hope you make use of this article, I am a senior tech and service manager at PJD Business Machines “Long Islands Copier Service Company”

A Tip to know when leasing a copier

October 19, 2012

I just want everyone to know this and it does not matter which company you choose to lease a copier from, when you are quoted a monthly lease payment, it does NOT include sales tax! The leasing company factors this in at your local States tax rate. Also, most of the time an application one time fee is charged. I am upfront with my customers or potential customers and let them know full well before they sign the lease.

so if you did not know this, here are a few tips when leasing you should know:

1) You will be taxed so when you see the monthly lease price/ quote, it does not include you local sales tax.

2) You will be paying a one time application fee to the leasing company.

3) At 60 days prior to lease end you MUST notify the leasing company and let them know what you are going to do. (keeping the machine, sending it back,) you must also mail them a letter of intent and keep good records of this and all phone calls, they are sneaky and will try to get you into additional months if not paying attention.

4) You are responsible of sending the machine back, most companies will absorb this expense providing you are buying from them sort of a gray area here but technically YOU are responsible for the lease return machine.

5) Most leasing companies will charge something called an “Interim Rent” this is the difference between the time the machine is installed and the first bill is sent to you, it only happen once but it does happen.

6) It is your responsibility to make sure the machine is working properly and nothing is broken at the time of return.

7) If you enter an all inclusive lease and the company (service provider goes out of business) its your loss, very few times in my 27 years have I seen a company getting recourse. Phil has said from the  beginning, NEVER ENTER A 5 YEARS LEASE!, To me, this is just crazy. If you cant afford or do not want 3 year buyout then go with 3 years FMV lease.

Types of leases:

A FMV lease is Fair Market Value, which means and the end of the lease the machine goes back or you may purchase it a fair market value, this is the cheapest way to go.

A dollar buy out lease is a lease (typically a little higher a month then a FMV) but when the lease is over, you buy the machine for $1.00, no catches it is Black & White.

Some companies have to get the latest and greatest machine every three years and money is not an issue, for this customer a FMV lease works out well, three years and out the door.

For the frugal customer, the one who closely watches expenses and is fiscally responsible, the $1.00 Buy out lease is very good, after three years you own the machine and if you were picked a good model machine, there is no reason why the machine can not last 7 years. Trust me it works out in your favor this way, just do the math.

I hope this has helped you and if you need anymore information please contact either Phil or Peter at PJD Business Machine at (516)785-3299 or visit us on the Web @ http://www.pjdbusinessmachines.com
