Well before you let your IT department sell you a new server, understand this, many of the older copiers will not be so friendly when it comes to scanning, sure it will print with no problem but scanning will be an issue. If you upgrade to Windows 2008 or better… you will have to make sure the copier is no older than 3 years. I have been seeing this often lately, a customer will upgrade without asking us if the machine is capable, the IT department is quick to “blame” the company who installed the machine but the truth comes out very quickly. Sure you can “wait” for patches, but can you really afford to be waiting? So take a tip from us, before you upgrade the server, be well aware that you may have an issue with scanning to SMB or scanning to email as security levels are very high with new equipment.    

Price shopping customers be aware…

We receive dozens a calls a week, internet surfers looking for price quotes, we tell them our prices right up front, we charge $105.00 to do a service all. Even if the call goes over an hour, we still charge the $105.00 for the call plus parts if needed.

What some companies may do to get into the door… They tell you over the phone that they charge $75.00, it sounds great until you see the final bill. In most cases the bill will be in the mid to higher 100’s. Like the salesman’s bait & hook we wrote about in another blog, this one is about service. When you call in for service, no matter what it is, fax machine, laser printer, copier, whatever, find out about the service fee and what it includes, ask the company what happens when the technician goes over the 1 hour mark, ask the company if they charge EXTRA if the machine needs a part and the tech has to come back to install it. Asked the company over the phone if they have some idea in what the problem can be so you have an idea what you are in for.

We are totally honest, we are upfront with our customers, if the machine is NOT worth the repair, we will state it over the phone and not waste ours or yours time & money.

We will not tell you that your machine needs unnecessary parts to build up the bill. There are a lot of companies out there folks, get references, be on top of the game and this will ensure a smooth transaction or…

A Tip to know when leasing a copier

I just want everyone to know this and it does not matter which company you choose to lease a copier from, when you are quoted a monthly lease payment, it does NOT include sales tax! The leasing company factors this in at your local States tax rate. Also, most of the time an application one time fee is charged. I am upfront with my customers or potential customers and let them know full well before they sign the lease.

so if you did not know this, here are a few tips when leasing you should know:

1) You will be taxed so when you see the monthly lease price/ quote, it does not include you local sales tax.

2) You will be paying a one time application fee to the leasing company.

3) At 60 days prior to lease end you MUST notify the leasing company and let them know what you are going to do. (keeping the machine, sending it back,) you must also mail them a letter of intent and keep good records of this and all phone calls, they are sneaky and will try to get you into additional months if not paying attention.

4) You are responsible of sending the machine back, most companies will absorb this expense providing you are buying from them sort of a gray area here but technically YOU are responsible for the lease return machine.

5) Most leasing companies will charge something called an “Interim Rent” this is the difference between the time the machine is installed and the first bill is sent to you, it only happen once but it does happen.

6) It is your responsibility to make sure the machine is working properly and nothing is broken at the time of return.

7) If you enter an all inclusive lease and the company (service provider goes out of business) its your loss,very few times in my 27 years have I seen a company getting recourse. Phil has said from the  beginning, NEVER ENTER A 5 YEARS LEASE!, To me, this is just crazy. If you cant afford or do not want 3 year buyout then go with 3 years FMV lease.

 

Types of leases:

A FMV lease is Fair Market Value, which means and the end of the lease the machine goes back or you may purchase it a fair market value, this is the cheapest way to go.

A dollar buy out lease is a lease (typically a little higher a month then a FMV) but when the lease is over, you buy the machine for $1.00, no catches it is Black & White.

Some companies have to get the latest and greatest machine every three years and money is not an issue, for this customer a FMV lease works out well, three years and out the door.

For the frugal customer, the one who closely watches expenses and is fiscally responsible, the $1.00 Buy out lease is very good, after three years you own the machine and if you were picked a good model machine, there is no reason why the machine can not last 7 years. Trust me it works out in your favor this way, just do the math.

Why would you buy a HP MFP as your main source of copying???I walked into a new customers account today, they were sold a medium sized HP MFP 5035 by their previous salesman and was unhappy with their CPC (cost per copy) well, again I ask, what did you expect? They sold you a 50 cpm machine that does it all but you did not figure out the cost of toner? Bad fiscal responsibility, My company sells 50cpm multi function machines that yield 500k on drums and rollers and 30k on toner, the toner cost $120.00 for 30,000 copiers, did you hear that? When the salesman takes out the calculator and starts bringing out the graph charts, look out! It is really quite simple here folks. I ended up selling this customer a Copystar cs520i, this is a real machine and gives you real cost per copy efficiency, to be quite honest, I cant even use his trade in machine as anything of value, the cost per copy is so high on that HP MF Copier that it would be counter productive to even use it as a loaner or a rental. Be very careful of the snake oil salesman folks! they are out there and are very hungry for new customers, we at PJD Business Machines, a true Long Island Service Company will only tell you the truth, we would rather turn down a sale, than to mislead you into buying a machine that wont benefit you and your bottom line.
